Letter of Collaboration
What is Letter of Collaboration?
A Letter of Collaboration is an official support document provided by International Conferences Inc. to confirm an attendee’s connection to a specific conference, event, or professional program. It explains that the person is registered or associated with the event and may be attending for learning, networking, business, academic, or professional development purposes. This letter helps present the attendee’s purpose of travel in a clear, formal, and professional way.
International Conferences Inc. provides this letter mainly for international attendees who may need additional documentation for travel or visa-related purposes. Many attendees travel from different countries to join our conferences, and they may be asked to show proof of the reason for their visit. This letter helps them explain their conference participation more clearly, so they do not face unnecessary confusion or difficulty when preparing their supporting documents.
The Letter of Collaboration is event-specific, which means it applies only to the conference, date, venue, and attendee named in the document. It cannot be used for another event or transferred to another person. To make the letter accurate and useful, attendees must provide correct information, including their full name, passport details, conference title, and other required details. Incorrect information may delay processing or affect the validity of the letter.
This letter is designed to provide professional support, clarity, and credibility for eligible registered international attendees. It helps show that the attendee has a genuine reason to travel and is connected to a recognized conference activity. However, it is important to understand that the final decision for any visa or entry request always belongs to the Embassy, Consulate, or immigration authority. The letter supports the process, but it does not guarantee approval.
Who is It For?
The Letter of Collaboration is designed for registered international attendees who need formal supporting documentation for their conference-related travel. It is especially useful for participants who may need to explain the purpose of their visit, show proof of event participation, or provide additional documents during travel or visa preparation. This letter is only for eligible attendees connected to an International Conferences Inc. event. Here are who it is for:

How Much Does It Cost?
The Letter of Collaboration service costs $100 USD per request. This fee applies to each eligible international attendee who needs a letter for a specific International Conferences Inc. event. The cost covers the review of attendee information, preparation of the official letter, administrative processing, and support related to issuing the document. Each letter is prepared based on the details submitted by the attendee.
The fee is charged separately from the conference registration fee, unless otherwise stated on the event page. This means attendees must first complete their conference registration and then request the Letter of Collaboration as an additional service if they need it. The letter is only available to eligible registered attendees, and the submitted information must match the conference registration and required identification details.
The $100 USD service fee is non-refundable once the request has been submitted. This applies even if the attendee changes travel plans, decides not to attend, provides incorrect information, or receives an unfavorable visa or entry decision. Since the service involves document review, verification, and administrative preparation, the fee is used to process the request and cannot be returned after submission.
Each Letter of Collaboration is valid only for the specific attendee and selected conference listed in the document. If an attendee needs a letter for another event, a new request and separate payment may be required. Before submitting the request, attendees should carefully review their details, confirm their conference registration, and understand that the letter is a supporting document, not a guarantee of visa approval.
How Does It Help Me?
A Letter of Collaboration helps you explain the purpose of your travel in a clear and professional way. When you are attending an International Conferences Inc. event from another country, you may need to show why you are visiting, what event you are joining, and how your visit is connected to your academic, business, or professional goals. This letter organizes that information into one formal document.
It also helps you provide additional support for your visa or travel preparation. Some international attendees may be asked to submit documents that confirm their conference registration, event participation, or reason for travel. The Letter of Collaboration can help strengthen your document package by showing that your visit is connected to a specific conference, date, venue, and recognized event purpose.
The letter can reduce confusion by presenting your conference details in a structured format. Instead of explaining your travel purpose only through personal statements or separate documents, this letter gives a clear summary from International Conferences Inc. It may include important details such as your name, event title, participation type, and conference information, which can make your travel purpose easier to understand and verify.
Most importantly, the Letter of Collaboration gives you added confidence when preparing your documents. It shows that you are not traveling without a clear reason, but for a planned conference-related activity. However, it is important to remember that this letter is only a supporting document. It does not guarantee visa approval, entry permission, or acceptance by any Embassy, Consulate, immigration office, or border authority.
Is Visa Approval Guaranteed?
Visa approval depends entirely on the decision of the Embassy, Consulate, immigration office, or border authority reviewing your application. The Letter of Collaboration is a supporting document that helps explain your reason for travel and your connection to an International Conferences Inc. event. It can be included with your visa or travel documents, but it does not replace any official visa requirement.
The final decision is always made by the relevant visa or immigration authority. They may review many factors, including your application form, travel history, financial documents, personal background, purpose of visit, and country-specific rules. International Conferences Inc. does not control, influence, or make decisions on visa approvals, entry permission, or immigration outcomes.
The purpose of the Letter of Collaboration is to provide clear and professional confirmation of your conference-related participation. It can support your application by showing that your visit is connected to a real event, but it should not be understood as a promise of approval. Attendees are responsible for checking all visa requirements and submitting complete, accurate documents.
