To ensure timely processing, delegates are encouraged to submit their invitation letter requests as early as possible, clearly indicating the specific information they need included — for example, passport details or institutional reference numbers. The secretariat endeavors to dispatch all letters within a reasonable timeframe, and requests are handled in the order in which they are received.
It is important to note that an invitation letter issued by the conference is provided solely to support the delegate’s visa or travel authorization application and constitutes confirmation of conference registration only. The issuance of an invitation letter does not in any way guarantee the approval of a visa or entry permit by the relevant immigration or consular authorities, as those decisions rest entirely with the issuing government body.
