To request an invitation letter, delegates must first complete their conference registration and, where applicable, receive confirmation of abstract or paper acceptance. Once these requirements are fulfilled, applicants should submit their full legal name, institutional affiliation, passport details, and mailing address through the official request portal on the conference website. The secretariat aims to process and dispatch invitation letters within five to seven business days of receiving a complete request.
It is important that all applicants understand that the issuance of an official invitation letter by the conference organizing committee does not in any way guarantee the granting of a visa or entry permit by Canadian immigration authorities. Visa decisions rest solely with the relevant government agencies, and delegates are strongly advised to initiate their visa applications well in advance of the conference dates, consulting the official immigration guidelines for their respective countries of origin.
