Invitation Letter Support
Registered participants who require documentation for travel purposes may formally request an official invitation letter from the conference secretariat. These letters are issued on institutional letterhead and include relevant conference details such as dates, venue, and the participant’s role, whether as a presenter, session chair, or general attendee. Requests should be submitted through the designated portal on the conference website following completion of registration.
The invitation letter is intended solely to facilitate the administrative and logistical aspects of international travel, including applications for conference travel grants or institutional reimbursement approvals. The secretariat endeavors to dispatch letters within three to five business days of a verified request and encourages participants to allow sufficient time before any applicable visa application deadlines.
It is important to note that the issuance of an official invitation letter by the conference organizing committee does not constitute a guarantee, commitment, or assurance of visa approval by Canadian immigration authorities or any other governmental body. All visa applications remain subject to the sovereign assessment processes of the relevant authorities, and participants are solely responsible for ensuring their own eligibility and timely application.
