This Refund Policy provides a detailed explanation of how registration fees, administrative charges, invitation letter requests, document processing, and all related payments are managed. It outlines the conditions under which payments are accepted, the circumstances in which refunds may or may not be considered, and the responsibilities of participants throughout the registration process.

By registering for any conference, purchasing a ticket, requesting official conference documents, or completing any form of payment through our official website, you acknowledge that you have read, understood, and agreed to the terms outlined in this Refund Policy.


General Refund Policy

All conference registration fees, service charges, document processing fees, and any related payments made to International Conference INC. are strictly non-refundable once payment has been successfully completed. This policy is in place due to the immediate allocation of resources, administrative processing, and event planning commitments associated with each registration.

Participants are strongly encouraged to carefully review all relevant information before completing their registration. This includes, but is not limited to:

  • Conference details such as name, theme, and agenda
  • Registration categories and applicable fees
  • Conference dates, schedule, and location
  • Eligibility requirements and participation criteria
  • Visa application responsibilities and travel requirements
  • Payment details, currency, and transaction confirmation

By proceeding with registration and completing payment, participants acknowledge and accept that:

  • Their registration is final and confirmed upon successful payment
  • Payments cannot be refunded, canceled, or reversed under normal circumstances
  • Any exceptions to this policy will only be considered under rare and exceptional situations, subject to review and written approval by the conference organizing committee

This policy ensures fairness, transparency, and the smooth execution of conference operations for all participants by clearly outlining the terms related to payments, cancellations, and refunds. Non-Refundable Registration Fees

Conference registration fees are non-refundable because registration confirms the participant’s seat and may include administrative processing, event planning, document preparation, digital access, conference materials, venue arrangements, and other operational costs.

Refunds will not be provided for reasons including, but not limited to:

  • Change of personal plans
  • Work, study, or family schedule conflict
  • Failure to attend the conference
  • Late arrival or missed sessions
  • Incorrect registration category selected by the participant
  • Duplicate registration caused by participant error
  • Failure to read event details before payment
  • Travel delays or travel cancellation
  • Visa refusal, visa delay, or immigration-related issues
  • Failure to meet travel, entry, or documentation requirements
  • Personal, professional, or financial circumstances after registration

Non-Transferable Registration

Conference registrations are issued exclusively to the individual participant who completes the registration process and whose details are submitted at the time of payment. Each registration is linked to the participant’s personal information, including name, contact details, and any supporting documentation provided during registration.

Registrations are non-transferable. This means participants cannot transfer, assign, sell, or otherwise provide their ticket, registration, invitation letter, conference access credentials, or participation rights to another person after payment has been completed. This policy helps maintain the integrity of the registration system, ensures accurate attendee records, and supports security and verification procedures for all participants.

Participants are responsible for ensuring that all personal information entered during registration is accurate and complete. Any errors in name spelling, contact details, or identification information should be reported as soon as possible. However, corrections may be subject to administrative review and may not always be permitted once processing has begun.

Name changes, attendee substitutions, and ticket transfers are not allowed under normal circumstances. Exceptions may only be considered in rare and exceptional cases, and only if written approval is granted by the conference organizing committee. Any approved changes may be subject to additional verification requirements, administrative fees, or documentation requests as determined by the organizers.


Cancellation by Participant

Participants may contact our support team to inform us that they are unable to attend; however, such notification is provided for record-keeping and administrative purposes only. Informing us of non-attendance does not create an automatic right to a refund, credit, transfer, rescheduling, or future event adjustment.

We encourage participants to notify us as early as possible if they are unable to attend, as this may assist with event planning and logistics. While we strive to accommodate participants where feasible, any consideration for alternative arrangements remains entirely at the discretion of the organizing committee and is not guaranteed.


Visa Refusal or Travel Issues

International participants are responsible for their own visa application, travel arrangements, accommodation, insurance, and entry requirements. An official invitation letter or conference document may support a visa application, but International Conference INC. does not guarantee visa approval, entry permission, travel authorization, or immigration decisions. No refund will be provided if a participant is unable to attend due to:

  • Visa refusal
  • Visa processing delay
  • Missing documents
  • Travel restrictions
  • Flight cancellation
  • Immigration decision
  • Border entry refusal
  • Failure to meet embassy, consulate, or government requirements

Invitation Letter and Document Processing Fees

After full payment is completed, invitation letters or related conference documents may be processed and sent within the stated processing period, typically within 5–7 business days unless otherwise specified. Processing begins only after payment has been successfully received and verified, and all required participant information has been submitted accurately.

Invitation letters may include standard invitation letters, visa support letters, confirmation letters, or other official documentation required for conference participation. These documents are prepared based on the information provided by the participant at the time of registration.

Any fees paid for invitation letter preparation, document support, verification, administrative processing, or related services are non-refundable once processing has started. This includes cases where the participant later decides not to use the documents, cancels travel plans, or is unable to attend the conference for any reason.

Participants are responsible for ensuring that all submitted information is accurate, complete, and up to date. If a participant provides incorrect information, spelling errors, passport details, organization details, or other inaccurate information, additional correction fees may apply where applicable. Corrections may also result in delays in document issuance.

In cases where documents have already been issued and require reissuance due to participant error, additional administrative charges may apply. The organization is not responsible for delays caused by incorrect or incomplete information provided by the participant.
