
Canadian Visa
If you’re not a Canadian citizen and live outside of that country, you need to apply for a visa to attend our international conferences in Canada. Depending on your nationality, purpose of visit, and duration of stay, you need to get a Temporary Resident Visa (TRV) or an Electronic Travel Authorization (eTA) for your visit. Whether you hold a Canadian passport or have temporary residency status, you do not need any of them to join our conferences.
Applying for a Temporary Resident Visa (TRV)
To apply for a TRV, you must first meet eligibility requirements. That means you must hold a valid passport, be in good health, and be financially solvent for your stay in Canada. Here is the process for applying for a temporary resident visa (TRV) for your travel:
- If you meet the eligibility, gather the required documents, such as a valid passport, financial proof (bank statement), and a photograph in the required format. You might also need to add supporting documents like an invitation letter, a visa expedited request letter (if you have one), and a hotel booking copy.
- Next, visit IRCC’s official website to apply for a visitor visa online. You’ll find multiple options to choose your visa type. Choose the visitor visa unless you have your inheritors in Canada. After selecting a visitor visa, you’ll find detailed instructions and an application portal at the bottom.
- Then, get an invite code from IRCC and sign into the IRCC portal. Once you have created an account there, you need to answer all the questions and upload your documents to the required field. Ensure all the documents come with the required size and format.
- Finally, recheck all the information you provided after uploading all the documents on the IRCC portal. If everything goes alright, pay the application fee using your credit card or the required payment methods. Then, wait for the approval and be prepared for the interview.
Please note that any special code given by IRCC is for recognizing events or conferences, and it doesn’t guarantee your visa approval.
Electronic Travel Authorization (eTA)
If you want to attend our conference in Canada from the USA or any other visa-exempt countries, you no longer need to apply for a TRV. You can easily enter Canada with an Electronic Travel Authorization (eTA), which is considered a digital travel document. This online travel authorization allows you to enter Canada for a short stay of up to six months for tourism, business, or transit purposes.
- To apply for eTA, you just need a valid passport and an accepted payment method, such as a credit card, visa card, master card, American Express, etc.
- Go to the eTA application page on the IRCC website and fill out the online form. Keep your necessary information ready, as the form cannot be saved.
- Pay the eTA fee (CAD 7) using the required payment method as soon as you complete the online form.
Once you apply for eTA, it can take a few minutes to get approved. However, if you need to submit additional documents, you’ll receive an email with instructions in 72 hours.
Business Visitor to Attend the Conference
Whether you need to enter Canada for any business meeting, seminar, event, or conference, you have to apply for a TRV or eTA. If you are from a visa-required country, you must go through the TRV process. Citizens from visa-exempt countries can enter with an eTA permit. In both ways, you need to attach your invitation letter for a business visit from a Canadian organization or individual. The invitation letter should contain the following details:
- Your Name, address, and other details
- Purpose of visit and your role in there
- Details of the individual or organization that host the conference
- The duration of staying of the person in the event or conference in Canada
- The potential date the person intends to leave Canada (if known)
Please note that our official invitation letter doesn’t guarantee your visa is approved.
Minor Children to Visit in Canada
According to Canadian law, children under 18 years old are still considered minors. If you want to bring your minor children to the conference, you need to prepare separate application documents for them. Sometimes, they might require additional documents like a birth certificate or authorization letter. Here is when:
- The minor must show the birth certificate, parents’ signed authorization, and details of local guardians in Canada if they travel alone.
- If you bring a minor as a single parent, you must show a letter of authorization signed by the absent parent.
- Parents need to carry the legal custody documents in case of separation or divorce.
